REGISTRATION PROCESS
REGISTRATION FOR ALL CLASSES MUST INCLUDE THE EMERGENCY FORM AND THE ENRICHMENT PROGRAM RELEASE MUST BE COMPLETED FOR EACH STUDENT ONCE PER YEAR
1. Registration: To enroll your child in a program, the Registration Form, Emergency Form and Enrichment Program Release must be filled out completely and received with payment in the PTO Enrichment Box (in the school office). Additional copies of all PTO forms are available in the office or by contacting Manion Gilbert (allimgilbert@gmail.com).
2. Emergency Form and Enrichment Program Release: For the 2015-2016 School year, PTO enrichment requires only one waiver for each student for the academic year. Even if your child is in a class with online registration, you must fill out an Emergency Form and Enrichment Program Release. All participants must have this on file in the office, but once the form is in place, you will only need to check the box indicating your submission on the registration form for classes each term.
3. Payment: Make checks payable to KSS Programs. Please include the student’s first and last name and the name of the class on the check. Only one check is required for each child, each term. Please indicate on the registration form which classes are being paid for, and the total.
4. Placement: Registrations will be processed in the order in which they are received. Classes will be closed once they reach the maximum number of students. Your payment will be returned to school if a class is full.
5. Confirmation: Confirmations will be sent out the weekend before the start of class via email only. We need your email address to send confirmation that your child is (or is not) enrolled in a particular class. If you have a junk filter, please check your junk mail to see if your confirmation is there. If you don’t have email, we will use your home phone number to contact you. Once your child is confirmed, please write down the start dates, dates with no class (i.e., holidays), and start and dismissal times of your child’s class.
6. Class Information: The after school program coordinator will email you in the event of any cancelled classes or location changes. Please check your email to stay up to date on class information.
Class Policies / Drop off and Pick up Procedures
1. Missed classes: Every effort will be made to reschedule classes missed due to school closure (weather, etc.) or instructor issues. If a class cannot be rescheduled we will not be able to issue refunds for missed classes. **There are no enrichment classes on Holidays, Teacher workdays and on early release/dismissal days.**
2. Withdrawals: We contract with vendors and instructors based on the number of children enrolled in the class. For this reason, we are not able to offer full refunds once the second week of class has begun. For refunds after the first class, there will be a $10.00 processing fee applied in addition to a charge for the class attended.
3. Returned Checks: Our bank charges fees for returned checks, so we must pass those fees along to the parents, therefore a service fee of $25.00 for all returned checks. The student may not return to class until payment is satisfied.
4. Student conduct: Students are required to follow the same behavior guidelines they follow during the school day. Upon confirmation of enrollment parents will receive the student conduct policy. Disruptive or destructive behavior may result in a child’s removal from a class or the Enrichment Program without refund.
5. Late pickup: Students must be picked up on time. The school has no legal responsibility for children after school hours, and the class instructors are responsible for them only during the contracted class time. Furthermore, the PTO and its volunteer representatives are not legally liable or responsible for your children. Late pickup will result in a warning letter. Any further late pickups may result in your child’s removal from the enrichment program without refund.
6. ADA accommodations: For special accommodations under the Americans with Disabilities Act, please contact KSS at least two weeks before the registration deadline. We will make every attempt to provide reasonable accommodations.
7. Dismissal to afternoon classes: Your child’s teacher will receive a copy of the PTO activities roster, which will list your student’s name and class, with its date, time, and location. The teacher will dismiss your child and direct them where to go. If PTO volunteers are available, kindergartners and first graders will be escorted to their after-school activities for the first week.
8. Pickup from afternoon classes: Parents/guardians must come to the class location to sign their children out. Please remember to bring a form of identification. Students will not be allowed to leave the school unattended to meet you outside in the parking lot or to walk home. If you would like to carpool, on your child’s emergency form you may list people who are authorized to pick up your child. If you need to designate someone else to pick up your child for a special situation, either send in a written note, or notify the instructor or KSS Program office
(info@kssprograms.com). You are expected to pick up your child on time. Please refer to the Late Pickup Policy (section 5 of Class Policies) for details.
9. Dismissal to SACC: Children who are normally dismissed to SACC will be sent to SACC at the end of their activity. SACC staff will have a list of children participating in the after-school classes, but we need parents to also notify SACC staff of their child’s change in dismissal routine on days they have after-school activities.
10. Payments by credit cards will be subject to a 3.4% credit card fee.
11. Refunds will be subject to a $20 administrative fee; unless there is not sufficient enrollment in the requested class and/or there are no alternative class options. Refunds will be processed within 30 days by check.
There are two main steps in the registration process—creating an account and registering/paying for classes. Here's how it works:
1. The first time you go in the registration site, you will need to create an account. You will only need to do this once and the information will be saved for future enrichment registration sessions. (emailhelp@kssprograms.com for help with your password if you forget it.)
When you create an account, you will provide basic contact information for yourself and then add your child/children to it. There will be a space to indicate your classroom teacher and grade. This will help you get through the process quickly once classes become available.
You can set up your account at any time from here on out by going to KSS Programs.
Click the tab which says
2. Once registration opens, you will go to the same link: KSS Programs.
Click the register online tab.
You will log in with the account you previously set up, select the registration button and then select classes you wish to register your child for based on availability.
Note that only those classes the student may take (based on the grade you input in for them in your account) will show up as options.
The site will indicate if spaces are available for classes or if they are already filled up. If filled, you will have the option to be placed on a waitlist. If you have a second child who you are enrolling, the classes for the first child will be held (i.e., the spaces in the class) while you are choosing classes for your second child.
3. After picking the classes, you will electronically sign a consent form. The consent form includes the following reminders about responsibilities:
– It is up to the PARENT to remind the child each week to go to his/her class.
– Extended Day students must report to Extended Day before going to any Enrichment class.
– Children being picked up from class MUST be picked up on time, at the place where the class meets.
– Once your child is signed up, if you wish to withdraw from a class, the KSS Programs is not obligated to refund your money. Requests for refunds will be considered on an individual basis.
– Students are expected to follow all usual school rules regarding behavior.
– Disruptive students may be asked to withdraw from a program at the discretion of KSS Programs (in which case a refund will not be given).
4. You will then proceed to checkout, where you will confirm the classes and determine your method of payment.
5. Payment options include credit card. You may register by check. Fill out the registration form. Mail to Khary Stockton Soccer, P.O. Box 16211, Alexandria, VA 22302.
We encourage you to register online.
6. Once your have paid, you will receive a confirmation e‐mail at the e‐mail address you provided when you set up your account.
Step by step instructions on registering can be found at KSS Programs.
IMPORTANT NOTE
It is very important that parents pay attention to the date that classes start and end. While the teachers have rosters for the classes, it is up to each parent to remind his/her child on the day of the class that he/she has the class (or does not) so the child doesn't miss a class.
